Paretoid Marketing LLP ("Paretoid", "we", "us" or "our") respects your privacy. This policy explains what personal information we collect, why we use it, when we share it and the choices available to you.

This policy applies when you visit www.paretoid.com, contact us, submit an enquiry, make a payment or receive services from us. A signed proposal, statement of work or data-processing agreement may contain additional terms for a specific engagement. If those terms provide greater protection for client data, those terms will apply to that engagement.

1. Who we are

2. Information we collect

We collect only the information we reasonably need for the purpose for which it is provided.

Information you provide

This may include:

• your name, work email address, phone number, role and organisation;
• information you include in an enquiry, form, meeting or email;
• billing details, invoice information and payment references;
• instructions, approvals, content and account access needed to provide services;
• feedback, support requests and records of our communications; and
• structured business or matter metadata provided for an agreed analysis.

Service-delivery information

When we work with a client, we may process information from websites, advertising platforms, analytics tools, CRM systems, intake platforms or practice-management systems. The exact information depends on the engagement and the access the client authorises.

For a Pareto Opportunity Map, our default is de-identified structured metadata. We do not need client names, direct contact details, identity documents, legal documents, legal advice or privileged narrative unless a separately approved task makes specific information necessary.

Payment information

Online payments are processed by Zoho Payments and the banks, card networks or other payment partners involved in the transaction. Those providers collect payment credentials under their own privacy terms and security controls.

Paretoid may receive transaction information such as the payer's name, billing contact details, amount, currency, date, invoice or payment reference and payment status. Paretoid does not intend to collect or store full payment-card numbers or card security codes.

Form submissions

Paretoid uses Tally BV ("Tally") to host its Opportunity Review and General Enquiry forms. When you open or submit one of these forms, Tally may process your answers, consent selection, IP address, browser and device information, and submission date and time. Paretoid accesses submitted answers in its Tally workspace to assess and respond to your enquiry.

Tally states that form data is stored on high-security servers within the European Union. Tally's privacy information is available at tally.so/help/privacy-policy.

The forms use Google reCAPTCHA to protect against spam and automated submissions. Google may process device and network information for that security purpose under its Privacy Policy. The Paretoid website links to the forms instead of loading Tally on the page, so Tally and reCAPTCHA are contacted only after you choose to open a form.

Website and device information

When you use our website, our hosting, security, analytics and form providers may collect technical information such as:

• IP address and approximate location;
• browser, device and operating-system information;
• pages viewed, links used and referring page;
• date, time and duration of a visit; and
• security, diagnostic and performance logs.

Third-party services may use cookies or similar technologies that are necessary for security or the feature you choose to use. Paretoid does not load Tally analytics or marketing cookies on its own pages. You can control many cookies through your browser settings. Blocking some cookies may affect how a feature works.

3. How we collect information

We may collect information:

• directly from you or your organisation;
• from systems you authorise us to access;
• automatically when you use our website;
• from payment, form, analytics, hosting and communications providers; and
• from public business sources where the use is lawful and relevant to an agreed service.

4. How we use information

We may use personal information to:

• respond to enquiries and assess whether our services are a suitable fit;
• prepare proposals, deliver services and manage client relationships;
• process payments, issue invoices and maintain financial records;
• configure, operate and support websites, campaigns, intake systems and automations;
• measure lead quality, retained matters and commercial outcomes where a client authorises that work;
• secure our website, systems, accounts and services;
• diagnose technical problems and improve our services;
• meet legal, tax, accounting, regulatory and contractual obligations; and
• establish, exercise or defend legal claims.

Where applicable law requires a legal basis, we rely on one or more of the following: your consent, performance of a contract, compliance with a legal obligation, or our legitimate interests in operating and protecting our business and providing relevant services.

We do not sell or rent personal information.

5. Law-firm and matter information

Law-firm information can be confidential even when it does not identify an individual. We therefore apply these additional defaults:

• request the minimum fields needed for the agreed purpose;
• prefer least-privilege, read-only access where practical;
• use a client-specific secure transfer method for exports;
• do not ask clients to send raw matter exports through ordinary email;
• limit access to people working on the engagement; and
• aggregate or de-identify analysis wherever the task allows.

Do not submit confidential matter details, legal documents, privileged material, health information, identity documents or payment-card data through our general website forms. Contact us first so we can agree on an appropriate transfer method.

6. When we share information

We may share information with:

• Zoho Payments and the financial institutions or payment networks involved in a transaction;
• Tally BV, which hosts our enquiry forms, and Google, which provides reCAPTCHA spam protection on those forms;
• hosting, cloud-storage, analytics, CRM, form, communications and security providers;
• contractors or specialists who need the information to perform an agreed service and are subject to confidentiality obligations;
• accountants, auditors, insurers and legal advisers;
• regulators, courts, law-enforcement bodies or other authorities when disclosure is required or permitted by law; and
• a buyer, successor or adviser involved in a proposed sale, merger or restructuring, subject to appropriate confidentiality safeguards.

These providers may process information under their own privacy policies when they act independently. Zoho's privacy policy is available at zoho.com/privacy.html, Tally's at tally.so/help/privacy-policy, and Google's at policies.google.com/privacy.

7. International processing

Paretoid operates from India and serves clients in Australia and potentially other countries. Tally states that form data is stored within the European Union. Tally, Google and our other service providers may process related information in Belgium, elsewhere in the European Union, India, Australia or other locations where they operate.

Privacy protections and government-access rules differ between countries. Where required, we use contractual, organisational or technical safeguards intended to protect information transferred across borders.

8. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security and dispute-resolution requirements.

For a Pareto Opportunity Map, we delete raw matter-history exports within 30 days after delivering the Map unless the client gives written approval for specified information to remain in use during a Growth Partnership. We may retain the final report, decision record and aggregated or de-identified analysis.

Payment, invoice and tax records may be retained for the period required by applicable law. Backup copies may remain for a limited period until they are overwritten under our normal backup cycle.

9. How we protect information

We use reasonable administrative, technical and organisational measures designed to protect information against unauthorised access, loss, misuse, alteration or disclosure. These measures may include access controls, multi-factor authentication, encrypted services, data minimisation and restricted workspaces.

No website, network or storage system is completely secure. We cannot guarantee absolute security. If we identify a data incident that requires notification, we will act in accordance with applicable law and relevant contractual obligations.

10. Your choices and rights

Depending on where you live and the law that applies, you may be able to:

• ask whether we hold personal information about you;
• request access to or correction of that information;
• request deletion or restriction of certain processing;
• withdraw consent where processing depends on consent;
• object to certain processing; or
• complain to an appropriate privacy or data-protection authority.

These rights can be limited by legal, security, confidentiality and record-keeping requirements. To make a request, email [email protected]. We may need to verify your identity before acting on the request.

You may unsubscribe from marketing email by using the unsubscribe link in the message or contacting us. We may still send service, billing or security messages that are necessary for an active relationship.

11. Third-party websites and services

Our website may link to or embed services operated by other organisations. Their handling of information is governed by their own terms and privacy policies. Review those policies before providing information to them.

12. Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children through the website. If you believe a child has provided information to us, contact us so we can review and delete it where appropriate.

13. Changes to this policy

We may update this policy when our services, providers or legal obligations change. We will publish the revised version on this page and change the "Last updated" date. If a change materially affects how we use information already collected, we will provide additional notice where required.
